Web Editing Processes and Tips for Editors

Members of the Online Committee and others are given Editor status. There are many things they can do on the website. Below are a series of tips.

❂ What are Views? And Content Types?

Views are pages or blocks that show a particular Content Type on the web. The views can only be edited by Simon.

For example here are the Content Types editors can edit:

  • The News Block on the right of most pages, including this one.
  • eMail Groups is a View page
  • Workshops have two Views, a block on the front page and also their own page: Workshops — How to:See Video
  • Public Issues Submissions are Views that have their own Content Type that can be edited.

Editors can update content for View pages by filling out a form. This is easier than generating a new page and having to manage the layout and create links in multiple places.

Or clicking the Administer link, bottom, left Menu.

As part of the Webmasters job of managing the overall structure and look and feel of the site Simon simon@simongurnsey.net creates and edits the View pages and Blocks. Editors can add and edit content.

❂ How to add News Items

The Block on the right is a View listing the most recent 5 News Items.

When you are logged with Editor status in the bottom of the left hand Menu…

Go to Administer -> News Item

Be careful under Publishing Options that Promoted to front page isn’t ticked because this puts the
item at the top of the home page, rather like a blog post.

❂ What is the “Book” Format?

Sections of the website such as Public Issues use a module called Books. The main page e.g. http://nzap.org.nz/members/public_issues will then show a list of Child Pages. It is easy to add a new Child page from the main page. The various pages can then be placed in the desired order using the Book Outline button and adjusting the weights.

Books grow as new Child pages are added. There are several interventions that help keep books orderly.

• Books can be re-ordered.

• Child pages in the book renamed.

To reorder and change titles of books go to http://nzap.org.nz/admin/content/book and click on the link to edit order and titles. This gives you a simple in-page editor for titles and a drag and drop interface for re-ordering the book’s child pages.

❂ Uploading files

Files can be uploaded using the File Attachment link at the bottom of the page when in edit mode.

If the files are forms or other documents we would like the users to be able to edit we make them available in a doc file.

If the file is more in the nature of a publication and we do not wish the users to create edited versions upload the .pdf file and make that
available via links etc.

So that the original file can be edited for a future update, also post that file with the same name as a doc file. But do not “list” it – there is a button to click to list a file.

Old versions can be renamed by appending their original publishing date eg supervision-2011-06.doc These too are not listed (i.e. visible to the user) but could
be made available for historical purposes.

❂ Managing Email Groups

Email groups are managed in Mailman and it is separate from the NZAP website. Only people who are Mailman Admins for the email group can add people.

1. Go to http://nzap.org.nz/members/email-groups

2. Click the Name of the group you want to administer.

3. Go the the Group Information page.

4. At the bottom of that Mailman page click the link: Connect administrative interface (requires authorization)

5. You will need your password to log in.

6. You can now administer everything.

Manage Members

One quirky bit is that to add a member, go to Mass Subscription – even for one member.

Enter the name in the box in this format: Name Lastname — one person to a line.
